How to write a rent receipt
Eight elements. The whole thing should fit on one page.
1. Receipt number
A unique number per landlord makes future lookup trivial. Ledgra auto-numbers receipts for signed-in landlords.
2. Date received
The date the payment actually cleared or was handed over — not the date rent was due.
3. Tenant name(s)
The person or people on the lease who paid.
4. Property address and unit
Full address plus unit or apartment number if applicable.
5. Rental period covered
From-date to to-date. This is what makes the receipt useful for tax or dispute purposes.
6. Amount received
The exact amount, plus currency if there could be any doubt.
7. Payment method
Cash, check + check number, bank transfer, or other. Note partial payments explicitly.
8. Landlord name and signature
Printed name and a signature. Digital signatures are fine when both parties accept them.
